Swansea University - Application Procedures

Application Procedures

Recruitment & Selection, Section 6 - Application Procedures

Applicants for all vacancies at the University will be required to complete a standard application form, a copy of which is always included with the application pack available on the Human Resources Department website.

As the application form is intended for a wide variety of posts some sections of the form may not always be applicable to the post that has been advertised.

Candidates will be advised that they should relate their experience and skills to the person specification, which will have been sent to them as part of the application pack.

For academic appointments, candidates will be requested to include or attach details of their research and publications record.

Application packs for all vacancies will be available electronically from the Human Resources Department’s website.

Candidates will be informed that, if they have not heard from the University within six weeks of the closing date of the post, they should assume that their application has been unsuccessful.

In the case of appointments which require the post holder to be subject to a Criminal Conviction Disclosure, applicants will be notified of this requirement within the application pack.   A copy of the University’s policy on the recruitment of ex-offenders and the use of the Criminal Records Bureau Disclosure Service is available on the Human Resources Department's website.

The Human Resources Department will, where possible, provide application packs in alternative formats (for example on computer disc or in large print) and in Welsh when requested.

Application packs for posts where Welsh speaking is a requirement will be prepared in Welsh.

Once the closing date for receipt of applications has been reached, the Human Resources Department will collate and list the applications received.   Application forms will then be passed to the respective Head of Department or nominated representative as soon as possible.

Informal Contacts

Advertisements frequently identify individual staff within the Department as a point of contact should applicants require further information about the post.   Staff appointed to act in this way should clearly understand that their role is to relay agreed information about the post in a considered format.

KEY POINTS

All applications will be handled within the Human Resources Department.

Application packs for appointments will contain the following:-

  1. Covering letter
  2. Application form
  3. Equal opportunities monitoring form
  4. Job description
  5. Person specification
  6. Conditions of appointment relating to the post
  7. Further details of the University and Department (if appropriate)

Process

Application packs are accessed via the Human Resources Department website or requested via email/telephone and sent out by post. Signed standard application forms are submitted to the Human Resources Department and applicant details are recorded on the vacancy list. The post is closed*, applications are collated and a list of candidates is drawn up. The Head of Department or nominated representative is contacted to arrange collection of the application forms for the short-listing process.

* The closing date for the majority of posts is a Friday. The post is closed on Monday morning, which allows for applications which may arrive late in the weekend mail.
