Claim dates

Claims for Knowledge Exploitation Fund (www.kef-wales.org.uk), European Regional Development Fund (www.wefo.wales.gov.uk) and European Social Fund (www.wefo.wales.gov.uk) sponsored projects are submitted on a quarterly basis from the date of approval. Claim forms must be submitted within one month of the end of the period to which the claims relate.

A claim meeting will be arranged every quarter between the Project Manager and representatives of the Research and Innovation Office to verify expenditure incurred on the project, to ensure that the project is proceeding as planned and to resolve any queries.

Claims for the Centres of Excellence for Technology & Industrial Collaboration (CETIC) projects are submitted quarterly based on the following timetable:

European-Funded Project Audits

All European Structural Fund (ERDF, ESF) sponsored projects are subject to regular audits by the University's external auditor as follows:

  • ESF projects require an Annual Audit certificate. Projects are audited for the 12 month period following the date of approval. A Final Audit certificate is required at the end of the project, which needs to be submitted within 3 months of the end of the project.
  • ERDF projects require an Annual Audit certificate for expenditure incurred up to 31st March and a Final Audit certificate at the end of the project.
  • Transnational research projects sponsored by the European 6th Framework Programme require an annual audit .
  • All projects may, at any time, be selected for audit by European Commission appointed auditors.

Reports to be submitted

During the first 18 months of the project, agreement will be reached with the Commission on a reasonable reporting system and the responsibilities of each partner will be clearly defined.

Normally, there is an 18 month horizon which rolls over every 12 months

  • Periodic activity report, including a plan for use and dissemination of knowledge is presented to the Commission at the end of the first 12 month period
  • Periodic Management Report, including Form C Financial Statement from each partner and a summary financial report at 12 month intervals
  • Audit certificates at 12 month intervals or as specified in the contract
  • Plan for next 18 months submitted at the end of the first 12 month period.
  • Annual Project review by Commission
  • Final activity report
  • Final management report
  • Final financial report
