Transfer and Withdrawal Information

If you have any specific problems or concerns that you wish to discuss in person please do not hesitate to contact us and make an appointment. All information will be treated in the strictest of confidence.

Your University Accommodation may not be what you wanted or you may be experiencing particular difficulties within your accommodation, if this is the case we ask in the first instance that you speak with a Welfare Warden or your Residence Site Staff to see if they may be of assistance.

Due to the numbers of students who usually request transfers at the start of session it is unlikely that we will be able to arrange all requests immediately. Where possible we will try to coordinate moves as quickly as possible. In the first few weeks of term many rooms appear to be available but they are in fact contracted to a student who has arranged a late arrival.


You will need to complete a form at Residential Services if you wish to:

  1. Apply for university accommodation
  2. Transfer within university accommodation
  3. Withdraw / Suspend Studies**
  4. Move to Private / Travel from home***


1. APPLY FOR UNIVERSITY ACCOMMODATION

We will attempt to assist the priority categories as quickly as possible. However as rooms can only be offered once vacancies occur through student departures it is not always likely that we will be able to arrange all requests immediately.

  • Date of application priority

  • Medical Need/ Disability

  • Students in Greatest Housing Need

  • Student Admissions category, as follows - Unconditional, Conditional First choice, Changed Course, Conditional Insurance, Clearing, Exchange & International Visiting students

2. TRANSFER TO ANOTHER ROOM / SITE

The transfer list will operate in the following priority order:-

  • Date of application priority
  • Medical Need/ Disability

Please be advised that there is a £25.00 administration charge for all Transfers.

3. WITHDRAWING / SUSPENDING STUDIES**

**IF YOU ARE WITHDRAWING FROM UNIVERSITY YOUR LIABILITY WILL NOT END UNTIL YOU HAVE COMPLETED THE FOLLOWING:

  1. Formalities to withdraw from your department / admissions, please click here for more information on how to withdraw
  2. Completed a Withdrawal Form and returned it Residential Services
  3. Cleaned and removed all rubbish from your room
  4. Handed your keys for your accommodation back to the appropriate site office.

A 6 week notice is only applicable to students Withdrawing / Suspending studies unless a replacement tenant is found.  In this case the liability for the rent will cease as soon as the new student moves into the room.  You are able to stay in your accommodation for the 6 weeks notice period which start the Friday on or after you have completed the form.  However the sooner the room is empty the sooner we can look at re-allocating it.

4. MOVE TO PRIVATE / TRAVEL FROM HOME

*** (Please be advised that alternative accommodation may be available within the university accommodation stock, you should not sign any Private Tenancy Agreement / Contract without first discussing your case with Residential Services). Please see point 6 below.  

  • The only other circumstances under which a student is released from his/her residence contract before its end date is when arrangements are made for a new student (not currently in university residences) to take over the let of the room.
  • IF the university is successful in finding a suitable replacement tenant to take over the remainder of the contract a charge of £100.00 will be added to the outgoing students account to cover administrative costs.
  •  IF the students is successful in finding a suitable replacement tenant to take over the remainder of the contract a charge of £50.00 will be added to the outgoing students account to cover administrative costs.

IMPORTANT

As some requests may take a while to accomplish and you will need to keep us informed if your request changes. We would also be grateful if you could keep us informed of any changes in your circumstances, particularly if you settle into your accommodation and no longer wish to move. Please be aware that in order to avoid unnecessary delays Transfer requests need to be reinstated every 2 weeks otherwise they will be automatically cancelled.

All contact regarding your Transfer Request will be made via your student email account – please check this regularly.

Students wishing to make a comment / complaint about their Residence / Room should initially raise this with their Residence / Site Manager, and/or write to the Head of Residential Services at Residential Services, Swansea University, Singleton Park Swansea.
